International Mini Meeting
IMM location selection:
The decision about which club and country will be organizing an IMM is made by presidents of clubs voting for their favorites in the President’s Meeting at each IMM. The meeting is chaired by the President of the current IMM host club, most of the times it begins with a general introduction and list of some information about the ongoing event. Then, clubs that want to bid to host the IMM in two years (three years for IMM England due to the size) are given an opportunity to make their presentations. Once all bidding clubs have made their presentations and all questions have been answered, presidents start voting which results in a winning club and country. At the Presidents’ Meeting the club presidents can also decide to make some amendments to IMM rules or discuss any other related matters.
The following rules can be updated and modified during the meetings of the presidents taking place at each IMM.
The IMM will take place on the European Whitsun weekend, England (UK) during August to coincide with the Mini’s Birthday. • The IMM will have a 4 day format (from 2011).
• The host club will have the option of whether to open the event to ALL mini owners or keep it as an IMM for club members only.

• It is the responsibility of the hosting club to decide if new MINI’s are included.
• IMM site to be Minis only. A Mini must tow trailers and caravans on site. Alternative parking must be made available for non Minis.

• Security should be a consideration on all sites.

• All fees to be paid in hosts national club currency.
​
• The host club should provide an adequate and suitable information stand.
• The host club should provide adequate information and communication facilities via Internet.
• Website for the following year’s event should only go live once the current IMM has been held.(ignored from 2014)
• The host club should ensure that there are sufficient toilets and cleaning facilities. The guidelines for toilets were changed during the IMM 2008 so that there are less people per shower or toilet. The old guidelines state that there should be 1 toilet per 100 visitors. From 2009 the new guidelines are 1 toilet per 25 visitors, which is also based on more strict health and safety regulations, UK 2019 was 1×200 visitors. Guidelines will be added in the future for drinking water and dishwashing facilities.
• The following year’s organizers must be present to give a presentation and give an update during the presidents’ meeting at the current year’s event.
• Not a rule but mentioned as a rule of thumb in 1999 approx entry fees and costs should be mentioned within bidding for an IMM but because of the nature of the subject every host should have the right to alter the price up to 20% off or less the price mentioned while bidding.
• Future IMM hosts will be selected at the Presidents Meeting 2 years in advance. Exceptions have been made in the case of Anniversary events in England, due to expected larger attendance numbers. • The presidents’ meeting to be held in English Language only. Therefore all presentations must be in the English language.
• Only real club presidents are entitled to vote.
A voting card system (or something alike) should be used instead of showing of hands. For this system pre-registration of the club president before the presidents’ meeting is needed. •
Presentations from future IMM candidates should be available online prior to the current year’s event, to allow club presidents’ voting to reflect the wishes of their club members.

• When bidding to host an IMM the presentation should include: Price for the complete IMM, including: camping, entrance to the IMM, Saturday dinner, Sundays breakfast (discount or free option) Location and Date.
ABOUT DINNER AND BREKFAST (This topic is under consideration and replaced at the discretion of the clubs with coupons and tokens to spend or may not even be present in a club’s offer and presentation.)

• Candidates should have attended at least 3 IMM’s before they are permitted to submit a bid to host the event. Therefore the IMM organizer should keep records of the visiting clubs.
•A question mark (on the dot of the URL or just on the promotional items) should be used by future IMM candidates in there promotion campaign. The question mark should only be removed once a bid has been successful. This is to avoid confusion, which has happened in the past.

Friendly agreements between clubs waiting to be rules:

IMM tickets cannot be sold until the beginning of the previous IMM.

You can sell your tickets with a promotional price during the IMM preceding yours. (Italy 2013 start with it in Hungary 2012)

The ticket price cannot fall below the price of your promotion during the previous IMM, and in the last few months it is recommended to create a price increase, the price may undergo changes based on the financial situation and the increase in costs but not it may exceed 20% of that presented subject to approval after the presidents’ meeting.

Only really existing clubs and a maximum of 2 people per club with a defined role must participate in the president’s meeting, only the presidents or a person of the club with official delegation can vote, the same to discuss rules and vote for approval of topics discussed in the meeting .

Members of each IMM are required to read and comply with the regulations and rules of an event area that the club must clearly present on the site under the heading regulations

No reimbursement of the IMM ticket is allowed, unless a private decision of the organizing club, the ticket can be sold unless the names are communicated to the organizing club and subject to its approval (if the IMM takes place regularly and is not postponed for particular reasons)

No website or advertising on social media or other systems should be made to an IMM until the end of the previous one, the sale of gadgets, tickets are prohibited, up to 1 day of the previous IMM.

2 years must pass from the nomination to the official date, one year before the club presents the news to the presidents and the event rules.

All MINi cars are allowed without distinction, clubs can create parking areas not close to sleeping areas, or by model. Camper areas and particular areas if the location has the requirements for them, the clubs can reserve the right to prohibit caravans in the event area or to arrange such vehicles in equipped areas or other than normal camping.

At the discretion of the clubs, the cost of tickets for children may be different from that of adults
